- Your full legal name or business name and address
- Your client's full name or business name and address
- A unique, sequential invoice number
- The invoice issue date
- The delivery or service date (or period)
- A description of each line item with quantity and unit price
- The net amount per line item
- Your tax identification number or VAT number
- The applicable VAT rate and VAT amount per rate
- The total net amount, total VAT, and gross total
- Payment terms (due date, late payment penalties)
- Your bank details or accepted payment methods

What happens if my invoice is missing required information?
Your client may refuse to pay until you issue a corrected invoice. Tax authorities can also reject the invoice for VAT deduction purposes. In short: incomplete invoices cost you time and money.
Do I need a VAT number if I am a small business?
It depends on your country. In Germany, Kleinunternehmer under section 19 UStG do not charge VAT and may use their Steuernummer instead. In the UK, you only need a VAT number once you pass the registration threshold. Check your local rules.
Does it matter if I send a digital invoice or a paper one?
The required information is the same regardless of format. A PDF sent by email has the same legal standing as a printed invoice. What matters is the content, not the medium.
Are invoices sent by email legally valid?
